ERP Development Solutions for New York Businesses

ERP in New York is a finance problem before it is a technology problem. The controller signing off on the design usually reports into a company that files with the SEC, closes on a public calendar and gets tested every year on the same general ledger controls the ERP either enforces or quietly bypasses. That is the defining feature of this market: New York holds one of the densest concentrations of SEC registrants and their auditors anywhere, so a New York ERP has to survive Sarbanes-Oxley section 404 IT general controls testing, ASC 606 revenue recognition and ASC 842 lease accounting from the first close, not from the second year. The operating models around it are just as specific. Apparel and accessories companies in the PVH, Tapestry and Ralph Lauren mold run style, color and size matrices, seasonal line planning, and EDI order flows into department store trading partners where a wrong 856 advance ship notice becomes a chargeback. Food distributors around the Hunts Point Terminal Market in the Bronx run catch-weight inventory, route-based delivery and razor-thin margins. General contractors and developers on projects for owners of the Related, Tishman Speyer and RXR scale carry job costing, AIA progress billing, retainage and New York Lien Law Article 3-A trust fund accounting that a generic ERP chart of accounts does not model. Media companies at 30 Hudson Yards and 30 Rockefeller Plaza carry rights, participations and residuals. Health systems including Northwell Health, which runs 28 hospitals and more than 1,000 care locations, run supply chain and requisition flows against clinical demand. Codazz builds and extends ERP for companies with those operating shapes. We have no New York office; we deliver remotely from Edmonton, Canada and Chandigarh, India, and we work your calendar. Edmonton is on Mountain Time, two hours behind Eastern, so a 9:00 AM ET design review starts at 7:00 AM MT, month-end support covers the full New York business day, and Chandigarh runs the overnight jobs so a failed data load is fixed before your team logs in.

What We Build

ERP Development Services We Offer in New York

New York ERP engagements come to us in four shapes. The first is a full implementation: SAP S/4HANA, Oracle NetSuite, Microsoft Dynamics 365 Finance and Operations, Infor CloudSuite Fashion or Acumatica, taken from fit-gap through configuration, data migration, integration, SOX control design, user acceptance testing and cutover. The second is extension and custom development on an ERP the client already runs, which is most of our work: ABAP and RAP objects on S/4HANA, SuiteScript and SuiteFlow on NetSuite, X++ and Power Platform on Dynamics 365, and API-first services on SAP BTP or Azure when the right answer is to keep the core clean and build outside it. The third is integration: EDI trading partner onboarding through SPS Commerce, TrueCommerce or Cleo, warehouse management links to Manhattan Associates, Blue Yonder or Korber, sales and use tax through Avalara or Vertex, procurement through Coupa or SAP Ariba, and payroll through ADP, UKG or Workday. The fourth is rescue work on a program that stalled, which usually means unreconciled subledgers, master data nobody owns and customizations that block the next upgrade. Every engagement ships a data dictionary, a control matrix mapped to your SOX narratives, and a cutover runbook rehearsed at production volume.

Industry Expertise

ERP Development for New York's Key Industries

Apparel and accessories wholesale is our densest New York vertical: style, color and size matrix inventory, seasonal line planning, allocation logic, landed cost with duty and freight, EDI 850, 855, 856, 810 and 852 flows into department store trading partners, and chargeback reconciliation that recovers deductions instead of writing them off. Food and beverage distribution around Hunts Point needs catch-weight units of measure, lot and expiry tracking, route accounting and rebate management. Construction, development and real estate operators need job costing to the cost code, AIA G702 and G703 progress billing, retainage on both sides, committed cost visibility, Lien Law Article 3-A trust fund segregation and certified payroll for prevailing wage work under New York Labor Law section 220. Media and entertainment needs rights and windowing, participations and residuals, and revenue recognition that survives an ASC 606 review. Pharmaceutical and medical distribution needs Drug Supply Chain Security Act serialization and chain of custody. Health system supply chain needs item master governance across clinical and non-clinical spend with contract price compliance. Professional services firms across Midtown need project accounting, work in progress, utilization and multi-entity intercompany elimination.

Our Process

Our ERP Development Development Process

We open with a fit-gap that produces a decision log rather than a wish list. Each gap gets one of four dispositions: change the process, configure the standard product, extend outside the core through an API or side-by-side service, or modify the core, with that last option requiring a named executive owner because it is the choice that makes every future upgrade expensive. Finance leads the design sessions; IT implements them. Alongside the functional design we build a SOX control matrix that names, for every significant process, the automated control in the ERP, the segregation of duties rule enforcing it, the evidence the system produces and the person who reviews it, so your external auditor tests a designed control instead of discovering an accident. Build runs in two-week sprints on Eastern Time, with the sprint review scheduled around your daily close jobs rather than on top of them. Master data gets an owner before it gets a load file: item, customer, vendor and chart of accounts each get a named steward, a cleansing standard and a rejection queue, because unowned master data is the most reliable way to stall a go-live. Extensions, reports, interfaces, conversions and forms live in a single register with an owner and a test case each, so nobody discovers in week twenty that a statutory report was assumed rather than scoped. Before go-live we run a parallel close in the new system against a completed legacy close and reconcile the two account by account, which is the test that tells you whether finance can actually operate the thing. Chandigarh runs the overnight loads and regression suites; Edmonton is two hours behind Eastern and covers the New York business day.

Technology

Technologies We Use for ERP Development

Platform choice follows company shape rather than vendor preference. SAP S/4HANA, typically under RISE with SAP on Azure, fits multi-entity manufacturers and distributors with real consolidation complexity; we build there in ABAP, the RESTful Application Programming model and CDS views, with side-by-side services on SAP BTP and Fiori for the user interface. Oracle NetSuite fits mid-market multi-subsidiary companies and is extended with SuiteScript 2.1, SuiteFlow and SuiteTalk. Microsoft Dynamics 365 Finance and Operations or Business Central fits companies standardized on Entra ID and Microsoft 365, extended in X++ and AL with Power Automate and Power BI on top. Infor CloudSuite Fashion covers apparel style, color and size matrices natively, which matters more than any other feature to a New York wholesaler. Acumatica and Sage Intacct serve construction, professional services and nonprofits. Integration runs on SAP Integration Suite, Azure Integration Services, Boomi, Celigo or Workato, with Kafka for high-volume event flows. Reporting lands in Snowflake or Databricks with dbt models and Power BI or Tableau on top. Where the workload runs follows the platform rather than a house preference: RISE with SAP lands on Azure, NetSuite, Business Central and Sage Intacct are vendor-hosted so the only decision is where your integration and reporting layer sits, and Dynamics 365 Finance and Operations follows the Microsoft tenancy you already have. We keep middleware, warehouse and custom extensions in the same region as the ERP so month-end batch latency stays predictable, name a secondary region in the recovery plan and test it, and stand up a Canadian region when a Canadian entity carries a residency clause.

Why Choose Us

Why New York Businesses Choose Codazz for ERP Development

We combine world-class engineering with local market understanding to deliver erp development solutions that drive real business outcomes.

📊

SOX Controls Built In, Not Bolted On

Segregation of duties enforced in role design, change management through a tracked pipeline with no standing production developer access, posting period locks and approval thresholds configured, and a control matrix mapped to your existing SOX narratives so your auditor tests a designed control rather than discovering an accident.

🧾

The New York Tax And Payroll Layer

Avalara or Vertex driven by a maintained product tax category, address validation so a Queens delivery is not taxed at an upstate rate, clothing exemption handling, nexus reviewed per state, exemption certificates with expiry blocking, use tax accrual configured, and MCTMT handled in payroll with clean journal posting.

🧵

Apparel And Distribution Depth

Style, color and size matrix inventory, seasonal line planning, allocation, landed cost capitalized by shipment, and EDI 850, 855, 856, 810 and 852 flows onboarded through SPS Commerce or Cleo with routing guide and GS1-128 compliance, plus deduction management so chargebacks get recovered instead of written off.

🔁

Cutover Rehearsed Three Times

Migration runs end to end at production volume at least three times before the real one, each producing a reconciliation pack tying trial balance, open receivables and payables, inventory value and open orders to the legacy system. Cutover is scheduled around your close calendar on Eastern Time, never through it.

📍

Frequently Asked Questions About ERP Development in New York

Ask a Question

Scope drives everything, and anyone quoting a number before a fit-gap is guessing. Honest bands, in US dollars, for the delivery work only: a discovery and fit-gap engagement that produces a design document, a data quality assessment, a control matrix and a defensible plan runs USD 40,000 to 90,000 over four to eight weeks. A single-entity implementation on NetSuite, Business Central or Acumatica with standard integrations, migration and training runs USD 150,000 to 500,000. A multi-entity or multi-country program on S/4HANA, Dynamics 365 Finance and Operations or Infor CloudSuite, with consolidation, EDI trading partner onboarding, warehouse integration and SOX control design, runs USD 600,000 to 2,500,000 and above depending on entity count and the number of legacy systems being retired. Software licensing, cloud infrastructure and third-party subscriptions such as Avalara, SPS Commerce or Coupa are separate and paid to those vendors directly. Our rates from Edmonton and Chandigarh sit well below what a Manhattan or Boston systems integrator charges for equivalent seniority, which is the reason most New York clients call us. We quote fixed fee per phase against a signed scope with a written change process.

We design controls into the configuration rather than documenting them afterward. Four areas get built first. Access: role design driven by a segregation of duties matrix, with the classic conflicts blocked in the system rather than monitored in a spreadsheet, meaning nobody who can create a vendor can also approve a payment to it. Change management: every transport, package or extension moves through a tracked pipeline with an approval record, and nobody has production developer access as a standing right. Operations: batch jobs, interfaces and reconciliations have documented owners, monitored failure alerts and evidence of review. Data integrity: the automated controls that matter, three-way match tolerances, credit limit enforcement, posting period locks, journal approval thresholds and duplicate invoice detection, are configured, tested and evidenced. Alongside these we produce a control matrix that maps each ERP control to your existing SOX narrative and names the system-generated evidence your auditor will pull. The point is not to make the auditor happy in year one. It is that a control your ERP enforces costs nothing to test every year, while a control that lives in a manual review costs a person a week every quarter forever.

You do not hard-code New York tax rules into an ERP, because the combined rate depends on the state rate plus county and city local rates plus the Metropolitan Commuter Transportation District surcharge, and because product taxability in New York is genuinely awkward: clothing and footwear below the statutory threshold are exempt from state sales tax while local treatment varies by jurisdiction. We integrate Avalara AvaTax or Vertex, drive taxability from a maintained product tax category on the item master, and use address validation so a delivery in Queens does not get taxed at an upstate rate. Nexus is configured per state from your actual physical presence and economic thresholds, and reviewed when you open a warehouse or hire a remote employee somewhere new. Exemption certificates are stored against the customer with expiry tracking so an expired certificate blocks an exempt sale instead of creating an assessment two years later. On the payroll side, the Metropolitan Commuter Transportation Mobility Tax applies to employers doing business in the MCTD and is handled in the payroll platform, ADP, UKG or Workday, with the ERP receiving the posted journal rather than computing the tax. Use tax accrual on purchases is configured because that is where New York audits usually find money.

Three things, and a general-purpose ERP fails at all of them without heavy work. First, the style, color and size matrix: an apparel item is not one SKU, it is a grid, and planners buy, allocate and report at the style level while the warehouse picks at the size level. Infor CloudSuite Fashion models this natively; NetSuite and Dynamics 365 need a matrix item extension that we build or configure carefully. Second, EDI with department store trading partners. Onboarding through SPS Commerce, TrueCommerce or Cleo means mapping 850 purchase orders, 855 acknowledgements, 856 advance ship notices, 810 invoices and 852 sales activity to each retailer's specific spec, with routing guide compliance, GS1-128 carton labels and pack structures. An 856 that does not match what is in the carton is a chargeback, and chargebacks are where apparel margin quietly goes. Third, landed cost. Duty, freight, brokerage and drayage have to be capitalized into inventory cost by shipment, not smoothed across the year, or gross margin by style is fiction. We also build deduction management so chargebacks get coded, disputed and recovered rather than written off, because for most New York wholesalers that recovery pays for the ERP project.

New York Lien Law Article 3-A treats funds received by a contractor for an improvement to real property as trust funds for the beneficiaries on that project, which means those funds cannot simply be pooled into general operating cash and spent on another job. An ERP that treats all cash as one bucket makes that obligation invisible. We configure the chart of accounts and job costing structure so trust funds are segregated and traceable by project, so cash receipts and disbursements are recorded against the project that generated them, and so the books and records the statute contemplates can be produced per project rather than reconstructed. Progress billing follows AIA G702 and G703 formats with schedule of values, stored materials, retainage held and released tracked separately on both receivable and payable sides. Committed cost from subcontracts and purchase orders is visible against budget so a project manager sees exposure before the invoice arrives. For public and prevailing wage work under New York Labor Law section 220, we integrate certified payroll reporting from ADP, UKG or a specialist package and reconcile it back to job cost, because the mismatch between what the payroll system reports and what the job cost ledger shows is a common audit finding. We are not your counsel; your construction attorney signs off on the trust structure and we build to it.

A single-entity implementation runs four to nine months. A multi-entity or multi-country program runs twelve to twenty-four months, sometimes longer when several legacy systems are being retired. Anyone promising a large ERP in ninety days is either descoping something you need or planning to bill the rest as phase two. On cutover, we do not do a single unrehearsed switch. Migration is executed at least three times end to end at production data volume, in staging, before the real one. Each rehearsal produces a reconciliation pack that ties trial balance by account, open accounts receivable and payable by customer and vendor, inventory quantity and value by location, open purchase and sales orders, and work in progress back to the legacy system, with variances explained rather than tolerated. We schedule cutover around your close calendar, usually a weekend after a completed month-end, never during a quarter close or a peak shipping week. The legacy system stays read-only for the retention period rather than being switched off. Hypercare runs four to six weeks with Eastern Time coverage from Edmonton and overnight monitoring from Chandigarh, and it ends when the first clean close lands, not when the calendar says it should.
