Service Overview

ERP Development Solutions for Miami Businesses

Miami is a trade city that happens to have beaches, and its ERP problems look nothing like Denver's or Nashville's. Miami International Airport is the busiest airport in the United States for international freight, and the customs brokers, freight forwarders, and perishables importers packed around it move cut flowers from Bogota and Quito, seafood, produce, and pharmaceuticals on clocks measured in hours. PortMiami and Port Everglades run the container and cruise provisioning side. Watsco, headquartered in Miami and the largest distributor of air conditioning, heating, and refrigeration equipment in the industry, runs distribution ERP across brands including Baker Distributing, Gemaire, and Carrier Enterprise. Southern Glazer's Wine and Spirits in Miramar distributes at national scale under state-by-state alcohol regulation. Ryder System in Coral Gables and MasTec run fleet, logistics, and construction operations. World Kinect, formerly World Fuel Services, moves fuel globally out of Miami. Lennar builds from Doral. Magaya, itself a Miami company, supplies logistics and customs software to much of this ecosystem. What these buyers share is an ERP problem defined by cross-border complexity rather than headcount: landed cost that has to include duty, brokerage, demurrage, and chargeback; lot, serial, and expiry tracking on perishables; multi-entity consolidation across US, Latin American, and Caribbean subsidiaries; OFAC sanctions screening that is not optional when your counterparty list touches Venezuela, Cuba, or Nicaragua; and a hurricane season from June 1 to November 30 that turns disaster recovery from a slide into an operating requirement. Codazz builds and integrates ERP for these companies from Edmonton, Canada and Chandigarh, India. We do not have a Miami office. We run an Eastern Time day from Mountain Time, two hours behind Miami all year, so your 9:00 AM ET is our 7:00 AM MT, and Chandigarh at UTC+5:30 runs the overnight window so month-end and cutover weekends have coverage around the clock. Florida-specific obligations including the E-Verify mandate in Fla. Stat. 448.095 and the breach duties in Fla. Stat. 501.171 are scoped in discovery, not discovered at go-live. Pricing is quoted in USD.

What We Build

ERP Development Services We Offer in Miami

Our Miami ERP work is organized around the three things that actually go wrong here. Trade and customs integration comes first: we connect ERP to the customs and forwarding layer so that entry filings, Importer Security Filing data, and commercial invoices are generated from the same records finance closes on, rather than rekeyed by a broker's coordinator at 11 PM. Second, landed cost and margin truth. Most Miami distributors and importers cannot tell you the real gross margin on a line because duty, brokerage, freight, demurrage, detention, and supplier chargebacks land in different systems weeks apart. We build landed cost allocation into the receipt and costing engine so the number is right at the moment of sale, not at year-end. Third, multi-entity and multi-currency consolidation across the US parent and its Latin American and Caribbean subsidiaries, with intercompany elimination, functional currency handling, and a close calendar that survives audit. On top of those we do warehouse and perishables work, lot, serial, and expiry with FEFO picking, EDI, and phased legacy migration off aging systems without a big-bang cutover.

Industry Expertise

ERP Development for Miami's Key Industries

Wholesale distribution is the largest Miami ERP cluster. Watsco, the largest HVAC and refrigeration distributor in the industry and headquartered in Miami, and Southern Glazer's Wine and Spirits in Miramar define the pattern: enormous SKU counts, brand and territory rules, vendor rebates, and margin that lives or dies on rebate accrual accuracy. Freight forwarding and customs brokerage around Miami International Airport is the second cluster, and it is genuinely different from ERP elsewhere because the general ledger has to reconcile against entry-level customs data. Perishables and floral import is a Miami specialty, with most US cut flower imports arriving through MIA, which puts cold chain, lot and expiry tracking, FEFO picking, and USDA APHIS inspection holds directly into the inventory model. Construction and engineering through MasTec, Lennar in Doral, and the South Florida contractor base needs job costing, percentage-of-completion revenue, AIA-style billing, retainage, and lien waiver tracking. Fleet and logistics through Ryder System in Coral Gables needs asset lifecycle, maintenance, and fuel accounting. Marine and yachting along the Fort Lauderdale corridor needs parts, service work orders, and warranty. Cruise provisioning for Royal Caribbean, Carnival, and Norwegian adds vessel-level demand planning against a fixed sailing calendar.

Our Process

Our ERP Development Development Process

ERP projects fail at cutover, so we design backward from it. Discovery opens with a process and document walk of the actual paper: a real purchase order, a real commercial invoice, a real entry summary, a real supplier chargeback, and a real month-end close package. We map the compliance surface in the same pass, covering US customs entry and Importer Security Filing data flow, FDA prior notice and Foreign Supplier Verification duties where food is involved, USDA APHIS requirements on cut flowers and plant material, OFAC sanctions screening obligations, and export controls where applicable. Florida-specific items are scoped here too, including the E-Verify requirement in Fla. Stat. 448.095 for private employers with 25 or more employees and the FIPA duties in Fla. Stat. 501.171. Design produces a phased release plan sequenced by business risk, never a single big-bang weekend. Build runs in two-week increments, and the demo is deliberately a transaction walkthrough on your own data rather than a screen tour, because an ERP that looks right and costs a receipt wrong is worse than one that looks unfinished. Before cutover we run at least two full dress rehearsals against production-shaped data with a timed rollback, and we run parallel operation on the financial close for at least one full period. Chandigarh covers the overnight and weekend cutover windows so nobody in Miami works a 30-hour shift.

Technology

Technologies We Use for ERP Development

Platform choice follows the shape of your business, not our licensing. Oracle NetSuite fits mid-market Miami distributors and importers that want multi-subsidiary consolidation out of the box. Microsoft Dynamics 365 Finance and Operations fits companies already standardized on Entra ID and the Microsoft stack. SAP S/4HANA fits large distribution and manufacturing with existing SAP investment. Acumatica and Odoo fit cost-sensitive operations where a heavier extension layer is acceptable. Custom modules and full custom ERP run on PostgreSQL or SQL Server with a Java, .NET, or Node service tier, and we do build custom when the domain genuinely does not fit a package. Logistics integration goes to CargoWise, Descartes, or Magaya depending on what your brokers already use, with US Customs ACE and ABI filings flowing from ERP data. EDI is X12 for domestic trading partners with 850, 856, 810, 940, and 945 as the usual set, and UN/EDIFACT where European or Latin American partners require it. Sanctions and denied party screening runs continuously against master data. Hosting defaults to AWS us-east-1 with a second region for disaster recovery, or Azure East US and East US 2, since neither cloud has a Florida region. Latin American edge workloads use the AWS Local Zones at Queretaro, Buenos Aires, Santiago, and Lima, all parented to us-east-1.

Why Choose Us

Why Miami Businesses Choose Codazz for ERP Development

We combine world-class engineering with local market understanding to deliver erp development solutions that drive real business outcomes.

🛃

Customs Data From the ERP, Not a PDF

Tariff codes, origin, valuation, and party data live on the item and vendor master, commercial invoices generate from the purchase order, and brokers receive structured data for ACE and ABI filing. Importer Security Filing elements are captured at purchase order confirmation instead of chased before vessel loading.

🌺

Perishables and Cold Chain

Most US cut flower imports arrive through Miami International Airport, so lot, serial, and expiry tracking with FEFO picking is standard in our builds. USDA APHIS inspection holds are modeled as an inventory state, which stops held stock from being promised to a customer before it clears.

🚫

Continuous Sanctions Screening

Counterparties are screened at creation, at edit, on a schedule, and again at order and shipment release, with hits opening a reviewed case that leaves an evidence trail. Fuzzy matching is tuned for Latin American naming conventions, and we test the false negative path, not only the noisy one.

🌀

Hurricane Season Is a Requirement

June 1 to November 30 shapes the architecture. Offline-capable receiving and shipping with reconciliation on reconnect, cross-region replication with a tested restore, per-process recovery objectives, and a runbook naming people and phone numbers rather than roles nobody can identify during an outage.

📍

Local Expertise

Our team understands the regulatory landscape, business culture, and user expectations specific to your city. We combine global engineering standards with hyper-local market knowledge to build products that resonate with your target audience from day one.

📈

Proven Track Record

With 500+ projects delivered across 24 countries since 2018, we bring battle-tested processes and domain expertise to every engagement. Our client retention rate of 94% speaks to the long-term partnerships we build, not just one-off projects.

👥

Dedicated Team

Every project gets a dedicated cross-functional team including a project manager, lead architect, senior developers, QA engineers, and a DevOps specialist. No freelancers, no outsourcing your project to third parties - your team is your team throughout.

🛠️

Post-Launch Support

Our relationship does not end at deployment. We provide 90 days of complimentary post-launch support, proactive monitoring, performance optimization, and a dedicated Slack channel for your team. Most clients continue with our maintenance retainer plans.

Frequently Asked Questions About ERP Development in Miami

Ask a Question

Ranges rather than a number, because ERP cost is driven by process count and integration count, not user seats. A scoped ERP extension or a single-module build, for example landed cost allocation on top of an existing NetSuite or Dynamics install, a warehouse module with lot and expiry, or a customs data integration, typically runs USD 60,000 to 160,000 over ten to sixteen weeks. A mid-market implementation for one legal entity with finance, inventory, purchasing, sales, three to six integrations, data migration, and training typically runs USD 200,000 to 550,000 over six to twelve months. A multi-entity, multi-currency program spanning a US parent and Latin American or Caribbean subsidiaries with consolidation, EDI, customs integration, sanctions screening, and a phased rollout runs USD 600,000 to 1,800,000 and up. Software licensing sits on top of all of those and is paid to the vendor, not to us, and on a multi-entity ERP the annual subscription frequently exceeds the services fee by year three, so ask any integrator to model five-year total cost rather than the implementation invoice alone. Two other line items get left out of Miami ERP budgets and should not be: data cleansing on item, vendor, and customer master, which on an importer with decades of duplicate part numbers is real work, and the internal backfill cost of the operations people you will pull onto the project. Delivering from Edmonton and Chandigarh is how we hold a lower blended rate without the offshore handoff problems that sink ERP projects. We quote fixed fee per phase against a signed statement of work, and we will not price a full implementation off a discovery call.

The goal is one set of records, not two. Entry filings go to US Customs and Border Protection through the Automated Commercial Environment using the Automated Broker Interface, usually filed by your broker, and the failure mode we see constantly is that the broker files from emailed commercial invoices while the ERP holds different data, so the entry summary and the general ledger disagree and nobody notices until a post-entry audit. We wire the ERP to be the source: harmonized tariff codes, country of origin, valuation, and party data live on the item and vendor master, the commercial invoice is generated from the purchase order and receipt, and the broker receives structured data rather than a PDF. Importer Security Filing data, the ten importer elements plus two carrier elements required before vessel loading, is captured at purchase order confirmation so it is available ahead of the deadline rather than chased. Where food is involved we support FDA prior notice data capture and Foreign Supplier Verification Program record keeping, and for cut flowers and plant material moving through Miami International Airport we model USDA APHIS inspection holds as an inventory state so held stock is not promised to a customer. If you participate in CTPAT, we build the supply chain security documentation trail into the same records.

In Miami this is not a checkbox exercise, because a large share of the counterparty base sits in or trades with countries running active US sanctions programs, and Cuba, Venezuela, and Nicaragua programs administered by the Treasury Department Office of Foreign Assets Control are routinely in scope. Screening only at customer creation is the common and dangerous design, because the Specially Designated Nationals list changes and a counterparty that was clean in March may not be in September. We build screening as a continuous process on master data: every customer, vendor, ship-to, bill-to, consignee, notify party, and beneficial owner record is screened at creation, at edit, and on a scheduled rescreen against the current list. Transactions are screened again at order release and at shipment release so a hit blocks the physical move, not just the record. Hits open a case with a documented reviewer, a disposition, and a reason, and the case log is retained because that log is your evidence of a reasonable compliance program. Fuzzy matching is tuned against Latin American naming conventions, since transliteration-tuned defaults generate noise. We integrate commercial screening data from providers such as Descartes, Dow Jones, or LSEG rather than scraping list files, and we test the false negative path, not only the false positive path.

Yes, and it is one of the few genuinely Florida-specific ERP requirements. Fla. Stat. 448.095, as amended by SB 1718 which the Governor approved on May 10, 2023 as Chapter 2023-40 and which took effect July 1, 2023, requires private employers with 25 or more employees to use the federal E-Verify system to verify a new employee's employment eligibility within three business days after the first day the employee begins working for pay. Employers must keep the documentation for at least three years. From July 1, 2024 the Department of Commerce notifies noncompliant employers and gives 30 days to cure, and an employer found to have failed to use E-Verify three times in any 24-month period faces a fine of USD 1,000 per day until it provides proof of compliance, with suspension of state-issued licenses also available. For ERP design this means onboarding is not complete at record creation. We model the E-Verify case as a required state on the employee record with the three-business-day clock visible, block downstream steps until it resolves, and retain the case number and documentation on a three-year schedule. For Miami staffing-heavy operations in distribution, construction, and hospitality this is a meaningful workflow change, not a field.

Treat June 1 to November 30 as a design constraint rather than a contingency. Three things go wrong in a South Florida storm and each needs a different answer. Power and connectivity at your facilities go down, so the ERP must not assume the warehouse has internet: we build offline-capable receiving, picking, and shipping with local queueing and a documented reconciliation path when the link returns, because paper recovery after a three-day outage is where inventory accuracy dies. Your people evacuate, so critical processes need documented failover to another site or to remote operation, and access has to work from a phone on a hotspot in Orlando. Your infrastructure region can degrade, so production runs in AWS us-east-1 or Azure East US with cross-region replication and a tested restore, not a backup nobody has restored. We set an explicit recovery time objective and recovery point objective per process, and they are not the same number: order capture and shipment confirmation usually need minutes, while month-end close can tolerate a day. We run a restore drill before hurricane season and again mid-season, and the runbook names people, phone numbers, and decision authority rather than roles nobody can identify at 3 AM.

On platform: pick by shape. NetSuite is the default we recommend to mid-market Miami distributors and importers because its multi-subsidiary and multi-currency consolidation is native and the Latin American subsidiary structure is common here. Dynamics 365 Finance and Operations wins where the company is already deep in Entra ID, Microsoft 365, and Power BI, and where manufacturing complexity is real. SAP S/4HANA earns its cost at large distribution and manufacturing scale or where a parent mandates it. Acumatica and Odoo make sense when licensing cost dominates and you accept a heavier extension layer. Full custom ERP is right in a narrow band, usually when the operating model is the competitive advantage and no package models it, which in Miami most often means specialized customs, forwarding, or perishables operations. On rollout: phased, essentially always. Big bang cutover across finance, inventory, purchasing, and sales in one weekend is the single most reliable way to lose a quarter. We sequence by business risk, usually finance and procurement first, then inventory and warehouse, then customer-facing order management, with parallel running on the financial close for at least one full period. Chandigarh covers the overnight and weekend windows so cutovers do not run on exhausted people.
