Every message must identify the sender and provide an unsubscribe mechanism that works for at least sixty days and is honoured within ten business days. We build this as a first-class consent object with an immutable audit log, not as a checkbox on the contact record, because the burden of proving consent sits with the sender. We also wire unsubscribe propagation across the CRM, the marketing platform and any transactional sender so a withdrawal in one place takes effect everywhere.

It depends entirely on who your customers are. PIPEDA, which governs private-sector commercial personal information in Nova Scotia because the province has no substantially similar private-sector statute of its own, does not impose a data residency rule. It requires accountability for information transferred to a processor, comparable protection by contract, and transparency with individuals about cross-border handling. That is a disclosure and contracting problem, not a hosting ban. The picture changes fast in two situations. If you sell to or process on behalf of a Nova Scotia public body, the Personal Information International Disclosure Protection Act applies, and personal information in that body's custody or control must generally be stored and accessed only in Canada. If your contact database includes Quebec residents, Law 25 requires a privacy impact assessment before personal information is communicated outside Quebec. Because procurement teams at hospitals, universities and municipalities routinely make Canadian residency a hard requirement anyway, we default new builds to AWS ca-central-1 or Azure Canada Central and treat any non-Canadian region as a decision that needs a written reason.

The choice is usually decided by what you already own and how strange your process is. If your organisation is already deep in Microsoft 365, Entra ID and Power BI, Dynamics 365 Sales on Dataverse removes an identity integration, a reporting integration and a licensing negotiation, and Power Automate covers a large share of workflow without code. If you need a partner, broker or member portal, a large AppExchange ecosystem, or a configuration surface your own administrators can operate, Salesforce is usually the safer long-term bet and the one most experienced Halifax revenue operations hires already know. If you have under fifty sellers, a straightforward pipeline and marketing sitting in the same team, HubSpot will get you live faster and cheaper, and moving off it later is a real but manageable project. We recommend against the platform where the honest answer is that you would be buying an enterprise licence to use ten percent of it. What we will not do is start with the platform. We start with the object model, the consent requirements and the integration list, then pick the tool that costs least to satisfy them over five years.

Matching then runs in layers: deterministic keys such as email, domain and business number first, then probabilistic matching on normalised name, address and phone with a scoring threshold, and finally a human review queue for the ambiguous middle where an automated merge would destroy history. Merges preserve activity, opportunity and consent records rather than discarding the losing record, and the strictest consent state always wins so a merge can never silently re-subscribe someone. Dead records get an evidence-based archival policy rather than deletion, because deleting a record can also delete your proof of consent and your ability to answer a PIPEDA access request. We finish with ongoing duplicate prevention on every entry path and a monthly data quality report so the problem does not rebuild itself over the next decade.

It can, but the architecture has to change and most standard CRM configurations are not acceptable as shipped. Nova Scotia's Personal Health Information Act governs the collection, use, disclosure, retention and disposal of personal health information by custodians in the province, imposes specific safeguard requirements on electronic information systems, and has been declared substantially similar to PIPEDA with respect to health information. For a benefits administrator or a health services organisation, that means personal health information does not belong in the same object as marketing preferences, sales notes and campaign membership. We separate it into a restricted store with its own access model, field-level encryption, and an access log that records who read which record and when, then expose only the minimum necessary to the CRM through a service boundary. Role-based access replaces the usual open-by-default sharing model, support and administrator accounts lose standing access to production health data, and retention and disposal rules are implemented as scheduled jobs with evidence rather than as a policy document. We also scope who can operate the system, which for custodial data usually means Canadian-resident staff only.
